Customize Your AI Receptionist

Make your receptionist sound and act like part of your business: its name, voice, greetings, what it handles on each call, who it transfers to, and what it texts callers afterward.

Open your receptionist's settings

In the mobile app:

  1. Go to the Settings tab.

  2. On your receptionist's card at the top, tap Receptionist Settings. If you have more than one receptionist, swipe to the one you want first.

If the button says Activate Now, finish setup first. See Set Up Your AI Receptionist and Call Forwarding.

On the web dashboard: click Receptionists in the left sidebar and open the receptionist you want to edit.

Name

Your receptionist introduces itself by this name on calls.

  1. Under Identity, tap Receptionist's Name.

  2. Type a new name, such as "Alex" or "Jordan", and save.

If your greetings or instructions mention the old name, the app reminds you to review them so callers don't hear two different names.

Voice and speaking pace

  1. Under Identity, tap Voice.

  2. Play a few voices and pick the one that fits how you want callers to hear your business.

  3. To change how fast your receptionist talks, tap the settings icon at the top right of the Voice page and choose Slow, Normal, or Fast.

On the web dashboard, use Speaking Pace in your receptionist's Settings section. How noticeable the change is depends on the voice, so if the pace still doesn't feel right, try another voice.

Instructions and greetings

Under Behavior, tap Instructions & Greetings. Here you can edit:

  • Receptionist Instructions: how your receptionist should behave and what it should know about handling your calls.

  • Greeting for contacts: what people saved in your customers list hear. You can greet them by name. See How to Greet Callers by Name.

  • Greeting for others: what everyone else hears.

  • Closing phrase: how your receptionist ends the call.

Example greeting: "Hi, thanks for calling Bright Smile Dental. This is Alex. How can I help you today?"

On the web dashboard, greetings and instructions are in the Call Script section.

Call Handling

Under Behavior, tap Call Handling and turn on the topics your receptionist should ask callers about. It covers them naturally during the conversation instead of reading from a script.

Call Transfer

Under Behavior, tap Call Transfer to add the people callers can be connected to when they need a real person. For each number you can set the hours when transfers are allowed. See call transfer for details.

After the call

  • Follow-ups: text the caller after each incoming call. Your receptionist can write a personal text based on the conversation, or send a default text such as your booking link. See Follow-ups.

  • Lead Alerts: automatically call your team when a hot lead comes in. Requires PRO. See Lead Alerts.

Business Profile

Your Business Profile holds the answers your receptionist gives callers: hours, location, services, prices, and common questions. In the mobile app, open it from the Settings tab, then Business Profile. On the web, it's under Tools & Setup. See Business Profile.

More options

  • Advanced Settings (under Identity): background office sounds, typing sounds, multiple languages, blocking known spam numbers, asking callers for recording consent, showing your own number as caller ID, and an answer delay.

  • Setup & Help: setup instructions, a forwarding test, troubleshooting, Pause AI, and live support.

  • Blocked Numbers: numbers your receptionist rejects before they connect.

Tips for better calls

  • Keep greetings short and friendly. Long intros frustrate callers.

  • Add your most common questions to your Business Profile so your receptionist can answer them without a transfer.

  • After changes, tap Talk to your receptionist (the button under your SkipCalls Number) to hear how it sounds.
