Send price estimates to callers

Written by Nikita Podelenko

When a caller asks "how much?", SkipCalls works out the price from your own prices. A ready estimate waits on that caller's card in Needs you. You check it and tap Send. Nothing goes out without you.

Estimates are included in PRO and above. On another plan, upgrade in Plan & usage.

Watch: send price estimates from your own prices

How it works

  1. A caller asks for a price. Your receptionist takes their details like always.

  2. After the call, SkipCalls works out the estimate from the prices you saved.

  3. The estimate waits on that caller's card in Needs you, with the price and how it adds up.

  4. You tap Send, or Edit it first. Only you send it.

1. Tell it your prices

  1. Open Estimates in the left menu, under Automations.

  2. In the box, write how you charge, the way you would explain it to a new employee. For example: "$120 an hour for 2 movers and a truck. A studio takes about 3 hours, 2 bedrooms about 5. Stairs are $40 a flight. Truck fee $75."

  3. Or tap Dictate and just say it. Or tap Price list and attach what you already have: a PDF, a photo or screenshot, a Word or Excel file, or a text file.

  4. Click Save my prices. Reading them takes about half a minute.

You then see Your prices, one row per price. Check that they're right. Under each job is its fine print, for example that these are starting prices, or the jobs you don't do.

2. Try it

To see how it prices a job, type what a caller might say under Try it and click Check. A receipt shows what the caller said, each line of the price, the total, and the text they would get. Nothing is sent or saved.

3. When a real caller asks for a price

The estimate waits on the caller's card in Needs you: the price, the math under it, and the text they will get.

A caller card in Needs you with the estimate, the text, and the Send, Edit, X and more buttons
  • Send: sends the text as it is.

  • Edit: change the text first, then send.

  • ✕: this caller shouldn't get an estimate. It removes the estimate from this card only.

  • How it adds up: shows each line of the price.

  • Edit prices: opens your prices.

  • The ··· menu has Download PDF, Recalculate, and Stop estimating.

If the caller didn't give a detail the price needs, the card asks you to fill it in, then works out the price. If a job needs a visit first, the text offers a time to come and see it. If your prices don't cover the job, the card says so and offers Add a price.

4. Change your prices

  1. Open Estimates.

  2. Click a price in its row, type the new one, and press Enter. It saves right away, and the row shows what changed.

  3. To add a price, click + Add under the job, type what it is and the price, and press Enter. To remove a row, click its trash icon.

  4. You can also type what changed in the Something changed? box, for example "Stairs are $45 a flight now", and click Update.

Changed your mind? Click Undo right after the change to bring back your previous prices.

Turn Estimates on or off

Use the Estimates on switch at the top of the page. When it's off, callers get your usual replies, and your prices are kept for when you turn it back on. To delete your prices and set them up again from scratch, open the ··· next to the switch and choose Start over.

Good to know

  • Estimates are included in PRO and above. On another plan, upgrade in Plan & usage. If you change to a lower plan, your saved prices are kept and work again when you upgrade.

  • If you have more than one business, each business has its own prices. Pick the business at the top of the Estimates page. Each receptionist uses the prices of its business.

  • Only the account owner or an admin can set prices.

  • Estimates are set up in the web dashboard at app.skipcalls.com. It works in a phone browser too.

  • The Watch guide button at the top of the Estimates page plays the video above.
