To-Do Tasks: Automatic Action Items from Your Calls

SkipCalls automatically analyzes every call your AI receptionist handles and creates follow-up tasks when human action is needed. Think of it as an intelligent to-do list that writes itself after every call.

How It Works

After each call (incoming or outbound), our AI reviews the conversation and looks for situations that need your attention:

  • Sales opportunities that need personal follow-up

  • Customer requests the AI couldn't fully handle

  • Complaints or issues requiring management attention

  • Custom proposals or pricing negotiations

  • Scheduling requests that need manual coordination

  • High-value leads that deserve personal outreach

The AI only creates tasks when genuine human follow-up is needed. Simple informational calls that the agent handled successfully won't generate any tasks.

The Tasks Dashboard

Navigate to To-Do Tasks in your dashboard sidebar to see all your tasks organized on a Kanban board with three columns:

  • To Do — New tasks waiting for action

  • In Progress — Tasks you're currently working on

  • Done — Completed tasks

You can drag and drop tasks between columns to update their status. Quick stats at the top show how many tasks are in each state.

Viewing and Editing Tasks

Click on any task to open its details. From there you can:

  • Edit the title and description

  • Set or change the due date

  • Navigate to the original call that generated the task

  • Delete tasks you no longer need

Each task shows whether it came from an incoming or outgoing call, so you have full context.

Creating Tasks Manually

Click the New Task button in the top-right corner of the Tasks page. Fill in:

  • Title — A clear description of what needs to be done

  • Description — Additional details and context

  • Due Date (optional) — When it should be completed

Manual tasks work exactly like AI-generated ones — they appear on your Kanban board and can be managed the same way.

AI-Generated Task Details

When the AI creates a task, it includes rich context to help you act quickly:

  • Priority level (High, Medium, Low) based on urgency and business impact

  • Lead notes — Key details about the customer or prospect

  • Lead status — Where they are in your pipeline (e.g., Contacted, Qualified, Negotiation)

  • Tags — Categories like "sales", "complaint", "technical-issue"

  • Due date — If a timeline was mentioned during the call

Tips for Better Task Extraction

The quality of auto-generated tasks depends on how well your AI agent handles calls. Here are some tips:

  1. Write detailed agent instructions — The more context your agent has about your business, the better it can identify when human follow-up is needed.

  2. Add knowledge base articles — When the task AI can search your knowledge base, it creates more informed and actionable tasks.

  3. Keep calls focused — Shorter, structured conversations lead to clearer task extraction.

  4. Review and refine — Check your tasks regularly. If the AI is creating too many or too few tasks, consider adjusting your agent's instructions.
