Customers: Managing Your Customer List

The Customers page (formerly Contacts) keeps one profile for each person who calls or texts your business. When a saved customer calls, your receptionist knows who they are, can greet them by name, and sees your notes about them.

On the web dashboard, click Customers in the left sidebar. In the mobile app, tap the Customers tab.

Add a customer

  1. Click Add customer at the top of the page.

  2. Enter a First name and Phone number (both required).

  3. Optionally add Last name, Email, Company, Address, Notes, and Tags.

  4. Click Add customer to save.

The phone number is how SkipCalls recognizes a caller, so each customer needs a unique, correct number. Notes are shared with your receptionist as background during calls, for example "prefers morning appointments".

To change or remove a customer, open the ⋯ menu on their row and choose Edit or Delete.

Customers are added automatically too

  • After calls: when a caller shares details like their name, SkipCalls can create their profile for you. To turn this on or off, open the ⋯ menu at the top of the Customers page and choose Customer settings. In the mobile app, it's Auto-Save Contacts under Settings → App Settings.

  • From your phone: in the mobile app, go to Settings → Integrations → Sync Contacts to bring in your phone's contacts.

Customers are tied to your account, so the same list shows on the web and in the mobile app.

Import customers from a file

  1. Click Import at the top of the Customers page.

  2. Drag your file in, or click Select File. CSV and JSON files are supported.

  3. Start the import. You'll see how many customers were added and which rows were skipped.

Import rules:

  • Your columns don't need these exact names. SkipCalls recognizes common variations like "first_name", "Name", "phone", or "mobile".

  • Every row needs a phone number. Rows without one are skipped.

  • Each row needs a first name or a company name.

  • If a customer with the same phone number already exists, their profile is updated instead of duplicated.

Find customers

  • Search: type in Search customers to find people by name, phone number, or company.

  • Filters: show only customers with certain Tags or from a certain Company. Active filters appear under the search bar, where you can remove them.

  • Sort: by Last active, Name, or Date added.

  • View: switch between Table view and Grid view.

Merge duplicates

If the same person ended up with two profiles, merge them so all their history lives in one place.

  • Suggested duplicates: when SkipCalls spots likely duplicates, a "potential duplicates found" banner appears at the top of the page. Click Review to merge each pair, mark it Not a duplicate, or use Auto-merge to merge all high-confidence matches at once.

  • Merge any two: select two customers in the list and click Merge. Choose the profile to keep. Missing details and all linked calls, texts, and tasks move to it, and the other profile is removed.

Customer profile

Click a customer to open their profile. It shows:

  • A Timeline of their calls, messages, appointments, and changes

  • Customer Notes and Tasks linked to them

  • Customer Files: use Request files to text them an upload link for photos or documents

  • Custom Fields for any extra details you track

  • Do not call and Do not SMS markers

Call or text a customer

From the list or a customer's profile, choose Call to have your receptionist place a call for you (you'll go to the call page with their details filled in), or Text to open the conversation in Messages.

How your receptionist uses customers

When someone calls, SkipCalls checks their number against your customers before your receptionist answers. If there's a match, your receptionist gets their name, company, and notes, can greet them personally, and their name shows in your call history and notifications. Clear all customers

To remove every customer at once, open the ⋯ menu at the top of the page and choose Clear all customers. Type delete all to confirm. Your calls, texts, appointments, and tasks stay in your history, but they're no longer linked to customer profiles. This can't be undone.
