Appointment Booking: Connect Your Calendar So Your Receptionist Can Book

Connect a calendar and choose how your receptionist should offer appointment times.

Appointment booking lets your AI receptionist check your real availability and book appointments while the caller is still on the phone. Each booked appointment shows up in SkipCalls, linked to the call it came from.

Use it when callers should be able to book a consultation, service visit, estimate, follow-up, demo, or any other appointment without waiting for a callback.

Best use cases

  • Clinics and practices booking new patient visits and follow-ups.

  • Home services booking estimates, repairs, and installations.

  • Salons and studios booking appointments by service.

  • Consultants booking discovery calls.

  • Sales teams booking demos or follow-up calls.

If you only want to collect a preferred time and confirm it yourself later, use Tasks instead. If you want the receptionist to actually place the booking, use appointment booking.

Calendars and booking systems you can connect

  • Google Calendar

  • Outlook Calendar

  • Apple Calendar (iCloud). Apple asks for an app-specific password. Create one in your Apple ID account under Sign-In and Security, then use it to connect.

  • Calendly and Cal.com. Your event types are imported. Your receptionist asks callers for an email address, because these tools need one to book.

  • Square Bookings. After connecting, choose your location and the services your receptionist can book.

  • GoHighLevel

  • TidyCal. Connect with a personal access token from your TidyCal account.

An active subscription is needed to connect a calendar.

Set it up

1. Connect your calendar

  1. Open Tools & Setup → Appointments in the left menu.

  2. Switch to the Booking systems tab.

  3. Click Connect calendar and choose your provider.

  4. Sign in and approve access. For Square, click Finish setup and pick a location and services.

Your calendars, event types, or services now appear in the list.

2. Choose which receptionists can book

  1. On the Booking systems tab, find the calendar or service.

  2. Click Manage.

  3. Tick each receptionist that should book into it, then save.

A new assignment starts with these settings: Monday to Friday, 9 AM to 5 PM, 30-minute appointments, and a 15-minute gap between appointments. You can change them in the next step.

You can also do this from the receptionist: open it, go to the Booking tab, and turn on the switch next to each calendar.

3. Adjust the booking settings

  1. Open your receptionist and go to the Booking tab.

  2. Click Configure next to the calendar.

  3. Set what fits your business:

    • Slot duration: how long each appointment is.

    • Gap between slots: break time for travel, cleanup, or preparation.

    • Allow booking: "Receptionist can book", or "View only" if the receptionist should only check when you are free.

    • Timezone, Work Days, and Available hours (the same for every day, or different per day).

    • Name & booking rules: the first line is the appointment name callers will ask for. Add any special rules after it, like "Prefer afternoon slots."

    • Announce My Schedule: lets the receptionist tell callers what is on your calendar instead of just saying you are busy.

    • Allow Double Booking: lets the receptionist book over existing appointments. Leave it off unless you really want overlapping bookings.

  4. Click Save Settings.

  5. Make a test call and book an appointment.

Calendly, Cal.com, Square, GoHighLevel, and TidyCal manage hours, time zone, and appointment length in their own account. Set those there. In SkipCalls you can still add extra booking rules for your receptionist.

Manage your calendars

The Booking systems tab lists every connected calendar and service, where it comes from, and which receptionists can book into it.

  • Manage: choose which receptionists can book into that calendar.

  • ⋯ menu: Disable for AI to stop all receptionists from using a calendar, or Enable for AI to turn it back on. Remove from SkipCalls takes it off your receptionists. Your events stay in your calendar.

  • Bulk actions: assign every enabled calendar to one receptionist at once, or clear all receptionist assignments.

  • Connected accounts: shows each account you connected. Click the sync button to bring in calendars or services you added there recently.

If an account needs to be reconnected, or a Square setup is not finished, you will see a notice at the top of the page with a button to fix it.

See your appointments

The Appointments tab shows everything your receptionists booked.

  • Switch between Upcoming, Past, and All.

  • Search, or filter by receptionist.

  • Click an appointment to open the call where it was booked.

  • Open the event in your calendar, or delete it. Deleting removes it from SkipCalls and, when your calendar allows it, from your calendar too. This can't be undone.

You also get an email each time an appointment is booked.

How it works on a call

When a caller asks to book, your receptionist checks your calendar for open times that fit your settings. It offers a few options, confirms the caller's choice, and books it.

If the requested time is taken, the receptionist offers other times. If the request is unclear, it asks a short question instead of guessing.

  • New patient visit: 40 minutes

  • Follow-up: 15 minutes

  • Medication check: 15 minutes

Home services

  • Free estimate: 30 minutes

  • Repair visit: 60 minutes

  • Installation consult: 45 minutes

Salon

  • Haircut: 45 minutes

  • Beard trim: 15 minutes

  • Color consultation: 30 minutes

Tips

  • Name appointments the way callers say them.

  • Add a gap between slots if you need travel, cleanup, or preparation time.

  • Keep working hours realistic so your receptionist doesn't offer bad times.

  • Keep your calendar up to date. Anything already on it blocks that time.

  • Test booking from your own phone before relying on it for live callers.

  • Check booked appointments during the first week and adjust lengths if needed.

  • If you need to approve bookings before they are confirmed, use Tasks to collect the preferred time instead.
