Post-Call Actions: Automatic Outbound Dispatch

What are Post-Call Actions?

Post-Call Actions automatically schedule outbound calls to your team members or contacts immediately after an incoming call ends. This is perfect for emergency dispatch, urgent follow-ups, or notifying specific people based on call content.

How it works

  1. A caller reaches your AI receptionist

  2. After the call ends, AI analyzes the conversation against your instructions

  3. If conditions match, an outbound call is automatically scheduled

  4. Your specified contact receives a call with full context about the situation

Example Use Cases

  • HVAC Emergency Dispatch: "If caller mentions AC broken or HVAC emergency, call John at +1234567890 immediately"

  • Plumbing Emergencies: "If there's a water leak or pipe burst, call Mike the plumber at +1555123456 within 30 seconds"

  • VIP Customer Alerts: "If caller mentions they're a premium member, call the account manager at +1555999888 in 5 minutes"

  • Sales Leads: "If caller asks about pricing or quotes, call the sales team at +1555222333 in 2 minutes"

Setting Up Post-Call Actions

  1. Go to your Agent Settings

  2. Navigate to the Actions tab

  3. Enable the feature with the toggle

  4. Write your instructions in natural language

Writing Effective Instructions

Your instructions should include:

  • Condition: When should the call be triggered?

  • Phone number: Who to call (in international format with +)

  • Timing: When to make the call (immediately, in X minutes, ASAP)

Example Instructions

If caller mentions HVAC emergency or AC broken, call John at +15551234567 immediately. If there's a plumbing issue (leak, clog, burst pipe), call Mike at +15559876543 within 5 minutes. If caller asks about enterprise pricing or mentions they're a business, call sales team at +15550001111 in 2 minutes.

What the Recipient Receives

When the outbound call connects, your AI will provide:

  • Why they're being called (the trigger condition)

  • Caller's name and phone number

  • Summary of the issue discussed

  • Any addresses or specific details mentioned

  • Urgency level

Timing Options

Immediately / ASAP / Right away

30 seconds

In X seconds

Specified seconds

In X minutes / Within X minutes

Specified minutes

Tips for Best Results

  • Use specific trigger conditions - "AC broken" is better than "problem"

  • Always include the + country code in phone numbers

  • List conditions in priority order (first match wins)

  • Test with a few calls before relying on it for emergencies

Notifications

When a post-call action is scheduled, you'll receive a push notification:

"Outbound call scheduled - Calling John the HVAC guy in 1 minute(s) based on your recent call."

Limitations

  • One outbound call per incoming call (first matching condition)

  • Spam calls are automatically excluded

  • Test calls do not trigger post-call actions

  • Requires an active subscription with available minutes
