Data Extraction saves the details you care about from every call in a clear, consistent format. Instead of rereading a transcript to find a budget, date, address, or yes/no answer, you get each detail as its own field.
Which plans include it
Data Extraction is included with Growth and higher web plans. It is also included with mobile app plans. It is set up in the web dashboard. On the Starter web plan, the section shows a locked card with upgrade options.
Best use cases
Use Data Extraction when you want the same kind of detail from many calls:
Budget range for a sales lead.
Preferred appointment date.
Service address or ZIP code.
Whether the caller already has a system or service.
Insurance provider.
Urgency of a service request.
If you want the receptionist to ask for something during the call, add it to the receptionist's Call Tasks. Data Extraction saves the answer after the call. Many businesses use both together.
How to set it up
Open Receptionists in the left sidebar and select your receptionist.
Open the Data Extraction section (under Post Processing).
Click Add Field.
Enter a short Field Name, like customer_budget or preferred_date.
Choose the Data Type: Text, Number, Integer (whole number), Yes/No, or Date.
Write Extraction Instructions in plain words: what to look for and what to do when the caller is unsure.
Save the field. It applies to future calls.
How it works
After a call ends, SkipCalls reviews the conversation and fills in each field. If the caller shared the detail, you'll see the answer. If they didn't mention it, the field stays empty instead of guessing.
You can see the results on the call's details page in the web dashboard, where a missing detail shows as Not provided. The values are also included in your webhooks, so you can send them to your CRM, a spreadsheet, or a Zapier workflow automatically.
Examples
Customer budget
Data Type: Number
Instructions: Find the caller's budget amount or budget range. Use the highest amount mentioned. Leave empty if no budget was discussed.
Preferred appointment date
Data Type: Date
Instructions: Find the date the caller wants for an appointment, installation, or visit. Leave empty if they only say "soon" or are unsure.
Has existing system
Data Type: Yes/No
Instructions: Note whether the caller already has the system, equipment, membership, or service being discussed.
Service address
Data Type: Text
Instructions: Save the address where service is needed. Include street, city, and ZIP code when available.
Tips
Use one field for one detail.
Only collect details your team will actually use.
Choose field names your team (and your CRM) will recognize later.
Say clearly what should happen when the caller is unsure.
Use Yes/No fields for simple qualification questions, and Date fields only when you need a real calendar date.
Make a test call and adjust the instructions if the saved answer is too broad or too narrow.
