How to Auto-Call Leads from BoldTrail (kvCORE)

What this does

When a new lead lands in BoldTrail (kvCORE), your SkipCalls receptionist calls them about a minute later. It can qualify the lead, transfer hot leads to you, and book appointments on your calendar. Each call summary is then written back to the lead's contact in BoldTrail.

Time to set up: about 10 to 15 minutes the first time.

Before you start

  • A SkipCalls Growth, Business or Enterprise plan. Calling from other apps uses API access, which is not included on Starter.

  • A BoldTrail account where you can manage Smart Campaigns and create API tokens. If your brokerage has turned these off, ask your broker.

  • A receptionist with outgoing call instructions. Open the receptionist, go to Call Script → Outgoing Calls, and write who it is, how it opens the call, what to ask, and when to transfer. Without this, outgoing calls sound generic.

Step 1: Get your call link from SkipCalls

  1. In SkipCalls, open Integrations in the left menu and go to the Outbound Calls tab.

  2. Choose receptionist: pick the receptionist that should call your leads.

  3. Get your link: click Create my link, then Copy. The link already includes a secure key and your receptionist.

You'll paste this link into BoldTrail in Step 4. You don't need the third step (Add call details); BoldTrail adds the lead's details for you.

Step 2: Create a BoldTrail API token

This token lets SkipCalls write call summaries back to your BoldTrail contacts.

  1. In BoldTrail, go to Lead Engine → Lead Dropbox.

  2. Scroll to My API Tokens.

  3. Check Contacts.

  4. Click Generate.

  5. Copy the token right away. BoldTrail only shows it once.

BoldTrail tokens expire after about a year. Set yourself a reminder to make a new one.

Step 3: Connect BoldTrail to SkipCalls

  1. In SkipCalls, go to Integrations → CRM and click kvCORE.

  2. Paste the token from Step 2 into API Bearer Token.

  3. Leave Automatically Create Contacts on.

  4. Click Test Connection. You should see a success message.

  5. Click Save Settings.

After every call, SkipCalls finds the contact in BoldTrail (or creates one) and adds the call summary to the contact's timeline. More detail: How to Connect kvCORE (BoldTrail) CRM.

Step 4: Create a webhook template in BoldTrail

A template tells BoldTrail which link to open.

  1. In BoldTrail, go to Marketing → Smart Campaigns → TEMPLATES → Add Template → Webhook.

  2. Fill in:

    • Webhook Name: SkipCalls AI Outbound

    • URL: paste the link you copied in Step 1

    • Query Param phone: pick {primary_call} from the dropdown

    • Query Param context1: pick {full_name}

    • Query Param context2: pick {email}

  3. Click Add Webhook.

Everything you send besides the phone number (like the name and email) is passed to your receptionist as background for the call.

The template is saved, but it doesn't run on its own. You need a campaign (Step 5).

Step 5: Create a Smart Campaign

Do this first: above the MY CAMPAIGNS / SYSTEM LIBRARY / TEMPLATES tabs there's a small dropdown. Click it and select your name. Without this, your campaigns won't show in the list and the wizard may fail to save.

  1. Go to Marketing → Smart Campaigns → MY CAMPAIGNS → Add Campaign.

  2. Campaign Logic: click Lead is New. Leave Source empty. Set Always Run: No and Locked: No. Click Next.

  3. Designed For: pick the lead types to call (for example BUYER and SELLER, or just one). Click Next.

  4. Set Details: name it SkipCalls AI Outbound. Click Next.

  5. Review & Add: click Finish.

Step 6: Attach the action (the step people miss)

After Finish you land on the campaign page. A campaign with no action does nothing.

  1. Click Add Action and choose Webhook.

  2. In Template, start typing SkipCalls AI Outbound and pick it. The URL and parameters fill in by themselves; leave them.

  3. Action settings: Name Trigger SkipCalls AI, Time Unit Minutes, Time Value 1 (BoldTrail's shortest delay).

  4. Click Save.

The top right of the campaign page should now say Campaign Active.

Step 7: Test with a pretend lead

  1. In BoldTrail, click Add Contact.

  2. First name Test, last name Lead.

  3. Cell phone: a number you can answer.

  4. Email: anything.

  5. Lead Type: one you picked in Step 5 (Buyer or Seller).

  6. Lead Status: New Lead.

  7. Save.

Within about a minute your phone should ring. After you hang up, wait a few minutes and check the contact's timeline in BoldTrail for the call summary. The call also shows in SkipCalls under Call History → Outgoing.

Optional: different conversations for buyers and sellers

If you want the receptionist to skip "are you buying or selling?" and go straight to the right questions, make two templates and two campaigns:

  1. In Step 4, create SkipCalls AI Outbound — Seller and SkipCalls AI Outbound — Buyer. Add &context3=seller (or &context3=buyer) to the end of each URL.

  2. In Step 5, create two campaigns. In Designed For, pick only SELLER for one and only BUYER for the other.

  3. In Step 6, attach the matching template to each campaign.

Then add a line to your receptionist's outgoing instructions, such as: "If context3 is seller, use the seller questions. If context3 is buyer, use the buyer questions."

Troubleshooting

My Campaigns list is empty

Use the small dropdown above the MY CAMPAIGNS / SYSTEM LIBRARY / TEMPLATES tabs and pick your own name. Your campaigns appear right away.

The wizard fails on Finish with "scope_type: The scope type field is required"

This is a known BoldTrail issue. Close the wizard, pick your name in the dropdown above the tabs, and try Add Campaign again. If it still fails, clone a campaign from SYSTEM LIBRARY instead, or contact BoldTrail support.

Test lead created but no call

Check in this order:

  1. The campaign page says Campaign Active. If it's off, turn it on.

  2. There's at least one entry under Campaign Actions. If not, you skipped Step 6.

  3. The lead's Lead Type matches the campaign's Designed For.

  4. The Lead Status is New Lead. Other statuses don't trigger it.

  5. The lead has a phone number.

  6. In SkipCalls, look under Call History → Outgoing. If the call is there, open it to see what happened. If it isn't, BoldTrail never opened the link; recheck the URL in your template.

  7. You have minutes available and your plan is Growth or higher.

The receptionist sounds generic ("calling on behalf of...")

The receptionist has no outgoing instructions yet. Open it in SkipCalls, go to Call Script → Outgoing Calls, write the opening line and questions, save, and test again.

Call happened but no summary in BoldTrail

  • In SkipCalls Integrations → CRM → kvCORE, make sure Automatically Create Contacts is on.

  • Make sure your BoldTrail token has Contacts access and hasn't expired.

  • Store phone numbers in BoldTrail in one consistent format, so the contact can be found.

The same lead got two calls a minute apart

The lead's Lead Type is set to both Buyer and Seller, so both campaigns fired. Either clean up the lead to a single type, or pick one default (for example, treat dual-type leads as sellers) and pause the other campaign for them.

A lead with no Lead Type didn't get a call

If a lead has no Lead Type, or one your campaigns aren't designed for, nothing matches. Set a default Lead Type when leads are created, or add a third "fallback" campaign with no Designed For filter.

Renters, vendors or agents aren't being called

Buyer and seller campaigns ignore them. Repeat Step 5 with Designed For set to RENTER (or VENDOR / AGENT) and attach the same template, or a separate one with &context3=renter on the URL for a different conversation.

I changed the lead's type and the campaign didn't run again

Smart Campaigns run once, when the status becomes New Lead. Changing the Lead Type later doesn't re-trigger them. To re-run each time the status goes back to New Lead, set Always Run: Yes in the campaign's Campaign Logic.
