Getting started with your AI Receptionist

What your AI Receptionist does

Your AI Receptionist acts as a smart assistant that:

  • Answers incoming calls and collects important information from callers

  • Transfers calls to your preferred number when needed

  • Sends follow-up text messages after calls (optional)

  • Integrates with your Google Calendar to manage appointments

You can personalize what it says, how it sounds, and what information it collects, directly from your SkipCalls app.

AI Receptionist vs Traditional Voicemail

Your AI Receptionist in SkipCalls replaces traditional voicemail with intelligent, real-time conversations:

  • The AI Receptionist holds live, natural conversations with your callers - it asks questions, collects details, and can follow up automatically.

  • Traditional Voicemail simply plays a pre-recorded greeting and records an audio message after the beep.

  • The AI Receptionist learns from your Business Profile and settings, so it can respond naturally and in line with your business needs.

  • Your receptionist uses your chosen voice and follows your custom instructions to represent your business professionally.


How to activate your AI Receptionist

  1. Open the Settings tab (bottom navigation)

  2. Scroll to the Receptionist Settings section

  3. Tap on AI Receptionist to open settings

  4. Complete the Setup & Support steps if you see a "not active" status

  5. Follow the setup wizard to configure call forwarding to your SkipCalls number

That's it! Your AI receptionist is now ready to handle incoming calls according to your settings.

Note: You'll need to complete the phone setup process to activate your receptionist. This involves configuring call forwarding from your main number to your SkipCalls number. The app provides step-by-step instructions based on your carrier.

Tip: You can check your receptionist's status at any time in Settings. Look for the status indicator next to "AI Receptionist" - it should show "Active" in green when everything is working.


Configure your AI Receptionist

Once activated, customize your receptionist's behavior:

Basic Settings

  • Name - Set what your receptionist calls itself (e.g., "Sarah", "Assistant", your business name)

  • Voice - Choose from multiple voice options to match your brand

  • SkipCalls Number - A dedicated phone number for your receptionist (can be shared as a backup number)

Advanced Settings

  • Instructions & Greetings - Customize what your receptionist says and how it handles different situations

  • Business Profile - Add Q&A pairs so your receptionist knows how to answer common questions about your business

  • Call Transfer - Configure a phone number where calls can be transferred if needed

  • After Call Text - Set up an automatic SMS message sent to callers after each call

Integrations

  • Google Calendar - Connect your calendar so the receptionist can check availability and schedule appointments

  • Knowledge Base - (Coming Soon) Add detailed information about your business, services, and policies


Next steps

Now that your AI Receptionist is set up, you can:

  • Customize Instructions - Tell your receptionist exactly how to greet callers and what information to collect

  • Add Business Details - Use the Business Profile feature to teach your receptionist about your services, hours, and policies

  • Connect Your Calendar - Enable appointment scheduling by connecting Google Calendar

  • Test Your Setup - Call your SkipCalls number to experience how your receptionist handles calls

  • Review Call History - Check the History tab to see transcripts and summaries of all handled calls

Pro Tips:

  1. Start with clear, simple instructions and refine based on actual call experiences

  2. Review call transcripts regularly to identify opportunities to improve responses

  3. Add Q&A pairs for your most frequently asked questions

  4. Test changes by calling your SkipCalls number yourself before sharing it widely

  5. Use the After Call Text feature to provide additional information or links to callers


Monitoring and Management

Your AI Receptionist runs automatically once configured. To monitor its performance:

  • Go to the History tab to see all incoming calls

  • Review call transcripts, summaries, and collected information

  • Check the status indicator in Settings if calls aren't being handled as expected

  • Adjust instructions based on real call patterns

The AI Receptionist status can show:

  • Active (green) - Everything is working correctly

  • Setup Required (orange) - Additional configuration needed

  • Not Connected (red) - Call forwarding not properly configured

If you see anything other than "Active", tap "Setup & Support" for troubleshooting guidance.
